Privacy policy
Windows Oshawa runs windowsoshawa.com as a free referral service. In one line: the details of your job go to an independent local window and glass contractor serving Oshawa and Durham so they can call you and quote, and that's the only reason we pass them on. This draft is being reviewed by a lawyer before launch.

What we collect and why
The forms ask only for what a contractor needs to answer you:
- Contact details: name, phone and email, used by us and the contractor to reply.
- Where the job is: address or postal code, which decides which contractor gets it.
- The job itself: the service, your notes, and whether it's a house, an apartment or condo, or a business, since Oshawa's permit rules differ between them.
- Uploads: any photos or files you choose to add.
- Your choices: what you agreed to on the form, including the optional marketing box.
We use these to route the request, check on it if it stalls, answer your questions and show later what you consented to. We don't sell any of it.
The site also uses cookies and analytics to keep forms working, filter spam and see which pages and searches lead to requests. That can involve your IP address and device details. Blocking cookies won't stop you sending a request.
Landlords, property managers and tenants' details
If you manage a rental and give us a tenant's name or number so a contractor can arrange access, you're sharing someone else's information. Let the tenant know first, and include only what the contractor needs to get in.
Photos of your home or storefront
A wide shot of a house or shopfront can catch a street number, a licence plate or a passer-by. Frame the glass and crop out faces and plates. Photos go to the contractor with the request, and we'll delete our copies once the job is done if you ask.
Who we share it with
The contractor matched to your job receives your request, contact details, address and photos, and nothing the job doesn't need. Contractors are independent businesses with their own legal duties for what they hold. If the first one can't help, the request may go to a second; ask, and we'll name every business that received it.
Suppliers who run parts of the site for us, such as hosting, form handling, email and text delivery, and analytics, process data for us, only for those tasks. Some store it outside Canada, where local law may let authorities see it.
Authorities, when a law requires disclosure, or when it's needed to deal with fraud or abuse of the site.
Nobody gets your details for their own marketing.
Email, texts and calls: consent and unsubscribing
Ticking the required consent box lets us pass your request to a contractor, and lets both of us contact you about that job. Canada's Anti-Spam Legislation (CASL) treats a request like yours as permission that expires after a set period, not as a licence to send promotions (CRTC guidance). Tips or offers only come if you choose to tick the second, optional box.
Each commercial email or text from us identifies Windows Oshawa and has an unsubscribe option, which we honour promptly. Phone calls fall under the CRTC's telemarketing rules: tell a contractor to stop calling and they have to add you to their internal do-not-call list (National DNCL rules). Copy us and we'll make sure they got the message.
Keeping and protecting it
We keep request records only while they serve the request, follow-up, proof of consent or a legal duty, then delete or anonymize them. Access is need-to-know, with security suited to how sensitive the data is. PIPEDA obliges us to report a breach that creates a real risk of significant harm and to notify the people affected, and we'll do both.
Your rights: access, correction, withdrawal, complaints
The Personal Information Protection and Electronic Documents Act (PIPEDA), the federal law on how businesses handle personal information, covers this site. Under it you can ask:
- to see the personal information we hold about you, and which contractors received it;
- to have mistakes corrected;
- to withdraw consent for further use, or to have your details deleted, except where a law makes us keep a record.
Send requests through the contact page and we'll answer within PIPEDA's deadlines. Withdrawing consent stops us, but any contractor that received your request keeps a separate copy and needs to be asked directly. Complaints we can't resolve can go to the Office of the Privacy Commissioner of Canada.
Updates and questions
Parliament is considering a 2026 bill that would replace PIPEDA; it hadn't passed when this draft was written. If it becomes law, or our practices change, we'll revise this page and its date.
